This Cancellation Policy (“Policy”) governs the terms and conditions under which clients may cancel or reschedule appointments with VIP Surface Concepts (“Company”). By booking an appointment, the client (“Client”) acknowledges and agrees to the following:
Notice Requirement • Clients must provide at least twenty-four (24) hours’ advance notice to reschedule an appointment. • Notice must be submitted via email, phone call, or text message to the contact information provided by the Company.
Deposits - All deposits are strictly non-refundable. By submitting a deposit, the Client acknowledges and agrees that:
• The deposit secures scheduling, materials, and labor allocation, which are deemed services rendered at the time of payment.
• Deposits may be applied to a rescheduled appointment only if the Client provides at least twenty-four (24) hours’ advance notice to VIP Surface Concepts. Acceptable forms of notice include phone call, text message, or email communication. Failure to provide such notice shall result in forfeiture of the deposit.
• The Client has knowingly and willingly authorized this charge and waives any right to dispute, reverse, or initiate a chargeback of the deposit through any financial institution, credit card company, or payment processor.
• All disputes must be addressed directly with VIP Surface Concepts, and the Client agrees that chargebacks shall not be used as a method of dispute resolution.
• Any attempt to dispute or reverse a deposit payment shall constitute a breach of this Agreement. VIP Surface Concepts shall be entitled to recover the disputed funds, plus any associated costs, fees, attorney’s fees, and damages incurred.
• This Agreement shall be governed by and construed under the laws of Louisiana, and the Client consents to the exclusive jurisdiction and venue of the courts located within the East Baton Rouge 19th Judicial Court in Louisiana for resolution of any disputes.
No-Show Policy • Failure to appear at the scheduled appointment without prior notice will be considered a “no-show.” • In the event of a no-show, any deposit will be forfeited and the Client may be required to pay a new deposit to book future services. • Repeated no-shows may result in refusal of future service at the discretion of the Company.
Late Arrival • Clients arriving more than 15 minutes late to their scheduled appointment may be subject to cancellation or rescheduling. • Late arrivals that require rescheduling will be treated as a cancellation without proper notice and may result in deposit forfeiture.
Cancellations by the Company • VIP Surface Concepts reserves the right to cancel or reschedule any appointment due to unforeseen circumstances, including but not limited to weather conditions, mechanical failure, staff illness, or other operational concerns. • In such cases, the Client’s deposit will either be refunded in full or applied to a rescheduled appointment at the Client’s request.
Force Majeure • Neither party shall be held liable for cancellations or delays due to events beyond their control, including but not limited to acts of God, natural disasters, accidents, government restrictions, or other emergencies.
Modifications
• VIP Surface Concepts reserves the right to modify or update this Cancellation Policy at any time. Updated versions will be posted on our website and will take effect immediately upon posting.
